Booking Terms

1. Request to book
Submitting a request does not confirm a booking. The Vendor will issue a quote, which you can accept by paying the deposit.
2. Deposit
Instant Booking experiences run one of two payment flows, and the one that applies to your booking is always stated on the checkout screen before you pay, and repeated in your confirmation email. Either your deposit is charged when you book and the booking is confirmed immediately, or your card is authorised without money being taken and the deposit is charged only if the venue accepts within the confirmation window — if they decline, or the window passes, the authorisation is released and you are charged nothing. For Request-to-book experiences, the deposit is charged when you accept the vendor's quote. In all cases the deposit counts toward the final invoice and includes Groupbooka's commission, which is deducted automatically.
3. Remaining balance
Where a deposit is taken, the remaining balance is charged automatically to the same card on the date shown in your booking's payment terms — by default 30 days before the event, or immediately if you book inside that window. The exact date is always displayed before you pay and repeated in your confirmation email.
4. Cancellations
- More than 14 days before the event: full refund minus payment processing fees.
- 7–14 days before the event: 50% refund.
- Less than 7 days before the event: non-refundable, at Vendor discretion.
5. Changes
Group size, dietary requirements and timing can be amended up to 72 hours before the event via the booking thread.
6. Disputes
If the experience materially differs from what was agreed, contact support within 7 days of the event and Groupbooka will mediate.
